Villa Rental Management

SIERRA BLANCA VILLAS 3

Villa Rental Specialization

We specialize in the rental management of private villas in Marbella.

The villas we manage belong to our partners and can be offered for either long-term or short-term rental.

Over the years, we have built a database of returning clients who regularly visit Marbella for holidays or extended stays.

This allows us to work not only with the open market but also with verified repeat guests.

Two Rental Formats

We work with two primary rental formats: long-term rentals and short-term rentals.

Long-term rentals generally provide owners with a more stable monthly income.

Short-term rentals can generate higher annual revenue but require more intensive management, preparation, and supervision after each stay.

The rental format is selected according to the property, its condition, location, and the owner’s objectives.

The Main Objective of Villa Management

The primary objective of our work is to preserve the villa in the same condition in which it was entrusted to us.

It is important that after every stay, the property is returned to a clean, well-maintained, and fully prepared condition.

We pay attention not only to visible areas but also to details that directly affect the long-term condition of the property.

The villa should retain its appearance, technical condition, cleanliness, aesthetics, and the feeling of a professionally maintained home.

A Team of Specialized Professionals

To maintain the villas, we have assembled a team of specialists, each responsible for a specific area of work.

We do not use a general approach where one person performs every task.

The work is divided into specialist areas including glass, terraces, swimming pools, landscaping, kitchens, bathrooms, furniture, lighting, dust removal, and interior surfaces.

This approach allows each employee to focus on their specific responsibilities and follow established procedures.

Glass, Windows and Exterior Glass Surfaces

Dedicated specialists work exclusively with windows, glass doors, panoramic glazing, and glass balustrades.

For premium villas, this is particularly important because large glass surfaces quickly reveal water marks, dust, sunlight residue, and fingerprints.

Glass is cleaned carefully using appropriate products and equipment.

The objective is to maintain transparency, cleanliness, and the appearance of panoramic areas without streaks or damage.

Terraces, Walkways and Outdoor Areas

A dedicated specialist is responsible for terraces, walkways, staircases, outdoor flooring, and exterior areas surrounding the villa.

These surfaces are regularly cleaned of dust, sand, water marks, leaves, and everyday contamination.

Particular attention is given to pool areas, entrance zones, stairways, and high-traffic areas.

Outdoor spaces must remain safe, clean, and visually well-maintained.

Swimming Pool Maintenance and Water Control

The swimming pool is maintained by a dedicated specialist.

This person is responsible for water cleanliness, pool surfaces, filtration systems, visual appearance, and the regular monitoring of technical parameters.

After each guest stay, the pool is inspected separately to ensure it is fully prepared for future use.

This is an important part of villa management because the swimming pool is one of the property’s key features.

Gardens and Landscaping

A landscaping specialist is responsible for green areas, plants, lawns, flowers, and trees.

They oversee plant health, pruning, irrigation, seasonal maintenance, and the overall appearance of the grounds.

The garden should remain well-maintained not only before guest arrival but throughout the rental period.

The landscape is considered an essential part of the villa and is monitored on a regular basis.

Dust Removal and Interior Surface Care

A dedicated employee is responsible for dust removal throughout the property.

Professional equipment is used to clean all areas, including locations where dust is not immediately visible.

Furniture may be carefully moved, carpets lifted, and areas beneath tables, chairs, sofas, and armchairs inspected when necessary.

The objective is to ensure that no important area is overlooked.

Kitchen and Household Appliances

The kitchen area is maintained by a dedicated specialist.

This includes cleaning household appliances, cabinets, refrigerators, ovens, cooking surfaces, washing machines, dishwashers, and worktops.

Kitchenware is checked, organized, and arranged according to inventory requirements.

Everything must be clean, orderly, and ready for use by the next guests.

Bathrooms and Sanitary Areas

A separate specialist is responsible for bathrooms and sanitary facilities.

This includes cleaning bathtubs, showers, toilets, sinks, taps, mirrors, and all hygiene-related surfaces.

All sanitary equipment must be clean, maintained, and disinfected.

Particular attention is given to areas where hygiene standards are especially important.

Chandeliers, Lighting and Decorative Elements

Chandeliers, light fixtures, decorative features, and difficult-to-reach surfaces are inspected separately.

Dust is removed, and the condition and appearance of each item are checked.

These details often influence the overall impression of a villa and therefore receive dedicated attention.

All work is performed carefully to avoid damage to finishes, materials, or decorative elements.

Operating Procedures and Quality Control

Each employee follows a predefined operating procedure.

The procedure specifies which areas must be inspected, the order in which tasks are completed, and the points requiring special attention.

After the work has been completed, a senior supervisor inspects the villa using a separate control checklist.

The entire process is additionally overseen by the manager responsible for cleaning and maintenance operations.

Preparing the Villa for Guest Arrival

Before guests arrive, the villa undergoes a complete preparation process.

Cleanliness, inventory, furniture condition, appliances, textiles, bathrooms, kitchen, swimming pool, terraces, and gardens are all inspected.

The villa is supplied with all required items, including towels, hygiene products, household supplies, tissues, shampoos, toothbrushes, toothpaste, and other essentials.

Only after these checks have been completed is the villa considered ready for occupancy.

Guest Verification and Rental Agreements

Before check-in, guest information is verified and recorded.

The details of all occupants are included in the rental agreement.

The agreement also specifies rental terms, rental periods, payment procedures, security deposits, and responsibility for the property.

This process helps protect the interests of the villa owner.

Security Deposits and Property Protection

A security deposit is collected from guests to cover potential damage or breaches of rental conditions.

The condition of the villa, furniture, appliances, and important inventory items is documented before occupancy.

Prior to departure, a dedicated inspector reviews the property and compares its condition before and after the stay.

If everything is clean, intact, and accounted for, a handover document is signed and the security deposit is returned.

Property Inspection After Departure

After guests leave, the villa undergoes a comprehensive inspection.

Furniture, appliances, plumbing, kitchen areas, bedrooms, bathrooms, terraces, swimming pools, gardens, and all major areas are checked.

Any damage, missing items, or excessive wear are documented separately.

Following inspection, the property enters the cleaning, replenishment, and preparation cycle for future guests.

Villa Inventory and Supplies

We ensure that every villa is fully equipped for guest occupancy.

Required kitchen items, bathroom supplies, cleaning products, personal care items, and everyday necessities are maintained.

After each stay, consumable items are reviewed and replenished.

This is an ongoing process that helps maintain operational readiness at all times.

Marketing and Property Promotion

To generate bookings, we use our own marketing channels, our client database, and external advertising platforms.

Properties may also be listed on Booking.com, Airbnb, and other rental platforms when appropriate.

Property presentation includes photography, descriptions, rental conditions, house rules, and availability information.

Marketing activities are adjusted according to the rental format, season, property category, and owner requirements.

Payments to Villa Owners

Payments to villa owners are transferred after rental funds have been received and guest check-in has taken place.

All financial arrangements are specified in the villa management agreement.

Owners receive clear information regarding payments, expenses, reservations, and the current status of the property.

Operations are conducted with transparent reporting procedures.

Photo and Video Reporting

Owners receive regular photo and video reports showing the condition of the villa.

These reports allow owners to see how the property looks, which tasks have been completed, and the condition of important areas.

This is particularly valuable for owners who do not reside permanently in Marbella.

The reporting process provides a practical way to monitor the property remotely.

Owner Use of the Villa

Owners may reserve dates for their personal use of the villa.

Prior to their arrival, the property is prepared in the same way as for any guest stay, including cleaning, inspections, and inventory checks.

After the owner’s departure, the villa is cleaned and returned to the rental schedule.

These arrangements are specified in the management agreement.

The Overall Management System

Villa rental management involves much more than finding tenants.

It is an ongoing process that includes property preparation, guest verification, contracts, occupancy supervision, cleaning, maintenance, reporting, and financial administration.

Each stage of the process follows established procedures and is assigned to responsible personnel.

This approach allows owners to generate rental income while maintaining the condition and long-term value of their property.
